Event organizers can change the session pre-registration status for their registrants, to enable smooth and efficient management of VIPs and other guests whose registration needs to be tracked.
1. Edit Session Pre-registration Statuses in Bulk
From [Attendees]/[Exhibitors]>[User list], click [Bulk edit].
<attention>This button will not appear unless the [Contents]>[Sessions]>[Enable session signup during registration] setting is set to “Yes.” </attention>
Upload a CSV file for the bulk update. See below for the steps to prepare the CSV file.
2. Preparing a CSV File for Bulk Edit Upload
Create a new lead report via [Reports]>[Lead report]>[Start].
Once finished, access the report via the [Download] button on the [Lead report]>[History] tab.
The far right of the lead report will contain columns for each session’s pre-registration status for each user. Confirmed session pre-registrations are noted with a TRUE; users who are not registered for a session display FALSE.
Update the value for users whose pre-registration status you want to change (e.g., change FALSE to TRUE; change TRUE to FALSE).
Blank cells will not be updated; they will retain their original value.
3. Uploading the Updated CSV File
Upload the file created in the previous step. Confirm the changes and click [Save].
All values included in the file will be displayed, not only the updated values.
<tips>This bulk edit feature references the [User ID] and [Pre-registration:] columns of the upload file. Other unnecessary columns can be deleted prior to upload.</tips>
4. Common Errors
The following outlines 5 common errors that occur when attempting a bulk edit of user session pre-registrations.
| Error Message | Description |

| The file includes unknown session name(s) [____]. Session pre-registration status column headers must match current session names. | The file contains 1 or more [Pre-registration:] columns where the session name does not match an existing session set via [Contents]>[Sessions]. Confirm the session name after each "Pre-registration:" in the column headers is correct. |
| Could not find User ID [____] | The uploaded file includes an invalid User ID. Confirm the User IDs by cross-referencing them with the downloaded lead report. *This error only appears upon clicking [Save] after successfully uploading an edit file. |
| Unable to complete bulk edit. Pre-registrations exceeded session capacity. Please increase the session capacity or reduce the number of participants pre-registered for sessions in the file. |
Changing a user's pre-registration from FALSE to TRUE would put the number of session registrants over its set capacity. Increase or remove the session capacity, or reduce the number of participants whose pre-registration status you are changing. *This error only appears upon clicking [Save] after successfully uploading an edit file. |
| Unable to complete bulk edit. Some edits result in session scheduling conflicts. Please ensure participants are not pre-registered for overlapping sessions, both new and existing. |
Changing a user's pre-registration from FALSE to TRUE would result in an overlap in session times. Users cannot be registered for overlapping sessions. *This error only appears upon clicking [Save] after successfully uploading an edit file. |
5. Additional Notes
- The maximum number of users that can be uploaded in one file is 1000. To bulk edit the session pre-registration status for more than 1000 users, split the upload file into smaller batches.
- Use a tab-delimited CSV file for the upload.
- Only session pre-registration status can be changed via this method. Content groups, custom fields, etc. cannot be bulk edited in this way.
